A GM's Guide to Staff Certification Tracking That Actually Works

Fire safety, food handling, first aid — every hotel has certifications to track. Here's why a folder or spreadsheet isn't actually tracking them.

Every hotel has a list: who's certified in fire safety, who's done food handling, who has current first aid training. Somewhere, that list exists — a shared folder, a spreadsheet, a filing cabinet. The problem isn't that the list doesn't exist. It's that nothing is actually watching it.

A folder isn't a system: A folder full of certificates tells you who was certified as of the day the certificate was uploaded. It doesn't tell you, unprompted, that someone's fire safety training expires next month. For that, someone has to go looking — open the folder, check every date by hand, cross-reference it against who's still employed. That's not tracking. That's an audit you have to remember to run.

The gap shows up at the worst time: Certifications don't lapse loudly. Nobody gets an alert. The first sign is usually an inspector asking for records, or — worse — an incident where the certification that should have been current wasn't. By the time a gap is visible, it's already a problem, not a warning.

What tracking should actually mean: A real system doesn't just store the certificate — it knows the expiry date, knows who holds it, and tells someone before it lapses, not after. In Roomkey24 Suite's Academy module, that's built in end to end: courses are authored and delivered in-app (fire safety, food handling, first aid, or anything specific to your property), staff take them and get certified with a real expiry date attached, and each certificate has a public verification page — you or an inspector can check a certificate code and see its status instantly, not dig through a folder. Reminders go out automatically as an expiry approaches, to the person who actually needs to renew.

Mandatory training that's actually enforced: Beyond individual certifications, you can define which courses are required for which roles or departments — so "everyone in Housekeeping needs manual handling training" or "all Front Office staff need fire safety" is a rule the system checks, not a policy someone has to remember to enforce manually.

Where this fits: This isn't a separate compliance product bolted onto a PMS — it's one module inside Roomkey24 Suite, alongside the front desk, the rota, and the books, priced per room from €6/room (€89/month minimum), with a 3-month free trial and no card required.

If certification tracking currently lives in a folder at your property, see how it works in the trial, or check pricing for your room count.
